Frequently Asked Questions
What does RCM Staff™ do?
RCM Staff™ provides remote healthcare revenue cycle support staff for U.S. medical billing companies, solo and group physician practices, and RCM vendors. Our team supports roles such as medical billing, coding, AR follow-up, denial management, eligibility and benefits verification, prior authorization, payment posting, and medical virtual assistant work.
Are you a medical billing company or a staffing company?
RCM Staff™ is a healthcare RCM staffing and outsourcing partner. We are not a percentage-based medical billing company. Our model is built around dedicated remote staff who work inside your existing systems, workflows, payer portals, and billing processes.
Who does RCM Staff™ serve?
We primarily serve medical billing companies that need additional RCM capacity. We also support solo and group physician practices, as well as RCM vendors, EHR companies, and healthcare technology teams that need trained back-office revenue cycle support.
Is RCM Staff™ a good fit for medical billing companies?
Yes. Medical billing companies are our primary customer. We help billing companies scale delivery capacity, support new client onboarding, reduce AR backlog, and add trained offshore staff without hiring more in-house employees.
Is RCM Staff™ a good fit for small practices?
Yes, if the practice has enough recurring billing, AR, eligibility, or administrative workload to justify dedicated remote support. For very low-volume practices, we may recommend starting with a narrower role or part-time scope if available.
What makes RCM Staff™ different from hiring directly on freelance platforms?
RCM Staff™ provides a structured healthcare RCM staffing model with role matching, onboarding support, compliance expectations, continuity planning, and operational oversight. Instead of managing an individual freelancer alone, clients work with a company built specifically around U.S. healthcare revenue cycle support.
What roles can we hire through RCM Staff™?
Common roles include medical billers, AAPC-certified medical coders, AR follow-up specialists, denial management specialists, eligibility and benefits verification specialists, prior authorization support staff, payment posting specialists, and medical virtual assistants.
Do you replace our internal billing team?
Not necessarily. Many clients use RCM Staff™ to extend their existing team rather than replace it. We can support overflow, aging AR, denial follow-up, eligibility, prior authorization, payment posting, and other back-office tasks so your internal team can focus on higher-level work.
Can we start with one staff member?
Yes. Many clients start with one dedicated RCM staff member for a specific function such as AR follow-up, billing, eligibility, or payment posting. The team can be expanded later as workload and operational needs grow.
Do clients communicate directly with assigned staff?
Yes, depending on the engagement setup. Assigned staff can communicate through approved client channels such as email, Teams, Slack, EHR notes, ticketing tools, or workflow trackers. Communication expectations are defined during onboarding.
Do your staff work inside our existing EHR and billing systems?
Yes. RCM Staff™ specialists work inside your existing EHR, practice management system, clearinghouse, payer portals, communication tools, and workflow trackers. You do not need to change platforms to work with us.
What systems do your staff have experience with?
Our team has experience with U.S. healthcare systems and tools such as eClinicalWorks, TherapyNotes, Office Ally, Availity, TriZetto, WRS Health, IntakeQ, PracticeQ, AdvancedMD, SimplePractice, payer portals, clearinghouses, and other billing platforms. System experience may vary by staff member and role.
Do you support U.S. business hours?
Yes. RCM Staff™ can support U.S. business hours depending on the client requirement, role, and engagement structure. Schedule expectations are clarified during the discovery and staffing match process.
How does onboarding work?
We start with a discovery and workflow review to understand your specialty, payer mix, systems, staffing need, and task priorities. From there, we match the appropriate RCM specialist, coordinate onboarding and access, review your SOPs, and prepare the staff member for go-live inside your workflow.
How fast can we start?
Most engagements target go-live within about 7 days after agreement, workflow alignment, and access coordination. Timing may vary depending on role complexity, client system access, payer portal requirements, and onboarding needs.
What happens if the assigned staff member is not a fit?
If there is a role-fit or performance concern, we review the issue, clarify expectations, provide coaching where appropriate, and work on a replacement or reassignment path if needed. The goal is to protect continuity while keeping the engagement aligned with your workflow needs.
How do you handle HIPAA and patient information?
RCM Staff™ follows HIPAA-conscious workflows and trains staff on confidentiality, secure handling of protected health information, access control, and client-specific compliance expectations. Staff are expected to work only through approved systems and follow the client's security and privacy requirements.
Do you sign Business Associate Agreements?
Yes. When applicable, RCM Staff™ can enter into a Business Associate Agreement with covered entities or business associates that require one as part of the engagement.
Do you charge a percentage of collections or per claim?
No. RCM Staff™ uses a per-FTE staffing model. We do not charge a percentage of collections, a percentage of payments posted, or per-claim fees. This keeps pricing predictable and aligned with staffing capacity rather than claim volume.
Is there a long-term contract required?
No long-term contract is required for most engagements. We aim to provide flexible staffing arrangements that align with your operational needs. Our preference is for the engagement to continue because it is performing well, not because you are locked in.
How is pricing structured?
Pricing is based on a per-FTE model tied to the role, schedule, and scope of work. We do not use percentage-of-collections pricing or per-claim billing. Specific rates are discussed during the discovery call once we understand your staffing needs and engagement structure.
