The System vs. The Work

SimplePractice Makes Filing Easy. Getting Paid Still Takes Follow-Up.

SimplePractice is built for mental health and wellness private practices: therapists, counselors, psychologists, and the group practices they grow into. Scheduling, notes, telehealth, client billing, and insurance claims live in one place, and a clean session can become a filed claim in a couple of clicks.

The friction shows up around the filing, not in it. Enrollments have to be in place before claims and ERAs flow electronically. Rejections and denials come back on payer timelines, not yours. And the unpaid insurance appointments report only shrinks when a person works it, session by session, week after week.

RCM Staff provides trained remote billing staff who do that follow-up every day inside your existing SimplePractice account.

Built by RCM Operators, Not Generic Virtual Assistants

RCM Staff was founded by Kevin Jamito, a healthcare revenue cycle management professional with over 18 years of experience in U.S. medical billing, coding, practice management, and back-office RCM operations.

Our staff are trained on the work itself: reading a denial, knowing which payer rule caused it, and closing the loop. Platform familiarity shortens onboarding, but billing judgment is what moves days in AR. Learn more about RCM Staff.

How We Fit In

Where We Fit Around SimplePractice

RCM Staff does not replace SimplePractice, your clearinghouse, or your payer portals. We provide the trained people and workflow oversight that keep claims moving through them.

01
Role-based access
Your practice or billing company adds a SimplePractice team member account under minimum necessary permissions.
02
Trained support assigned
RCM Staff assigns billing and admin support matched to your SimplePractice workflow and payer mix.
03
Daily report review
Unpaid insurance appointments, rejections, denials, and aging claims are reviewed daily against agreed priorities.
04
Tasks worked
Enrollment follow-up, claim corrections, refiling, payer follow-up, and posting checks are worked to client instructions.
05
Escalation to client
Coding, credentialing, contracting, and payer decisions are escalated rather than assumed.
06
Tracking and reporting
Work is documented through task logs, denial notes, and client reporting.
Where It Slips

Common SimplePractice Billing Workflow Gaps We Help Cover

These are the patterns we see most often in practices and billing teams running without enough dedicated capacity.

Payer enrollments stall, so claims cannot go out electronically
The unpaid insurance appointments report grows every week
Claims are filed but nobody checks what happened to them
Rejections sit in the queue while sessions keep getting booked
Denials are written off because appeals feel like a second job
ERAs come back but adjustments and underpayments go unreviewed
Secondary claims never get filed after the primary pays
Clinicians spend evenings answering superbill and billing questions
The practice joined panels but nobody owns the insurance workflow
Billing companies juggle logins across many SimplePractice accounts

Insurance in a Private-Pay Practice

The Unpaid Insurance Appointments Report Is Where Revenue Hides

Most SimplePractice practices run a mix: private-pay clients, out-of-network clients who get superbills, and in-network sessions billed to a handful of panels. The private-pay side largely takes care of itself through autopay. The insurance side behaves nothing like it.

Joining panels changes the character of the admin work. Enrollments have to be completed per payer before e-claims and ERAs flow. Eligibility needs checking, including behavioral health carve-outs that route claims to a different payer than the card suggests. And every filed claim needs someone watching what came back, because a session that shows on the unpaid insurance appointments report at 90 days is usually several smaller problems stacked on top of each other.

Our staff work that report on a defined cadence: status the claim, fix and refile what is fixable, document denials by reason code, and escalate the credentialing and contracting questions that belong to the practice owner.

For Billing Companies

Support for Billing Companies With SimplePractice Clients

SimplePractice clients tend to be small: a solo therapist here, a six-clinician group there. Individually the volume is light, but a book of thirty of them means thirty logins, thirty payer mixes, and thirty unpaid-appointment reports that each need weekly attention. That is exactly the work pattern where U.S. staffing costs eat the margin.

RCM Staff works as added capacity inside your process. We support the billing company’s workflow, access controls, and client instructions without taking over the client relationship.

FAQ

Common questions about SimplePractice billing support.

Is RCM Staff affiliated with SimplePractice?
No. RCM Staff is an independent service provider and is not affiliated with, endorsed by, sponsored by, or certified by SimplePractice.
Does RCM Staff replace SimplePractice?
No. SimplePractice remains your EHR, practice management, and billing system. RCM Staff provides trained billing and admin staff who work inside the account you already have, under access you control.
Can you handle payer enrollments in SimplePractice?
Yes. Our staff prepare and submit payer, electronic claim, and ERA enrollments, track their status, and follow up with payers and the clearinghouse until claims and remittances flow. Credentialing and contracting decisions stay with the practice and are escalated, not assumed.
Can you work the unpaid insurance appointments report?
Yes. That report is the core follow-up worklist in SimplePractice. Our staff review it on a defined cadence, check claim status with payers, correct and refile what needs it, document denials by reason code, and escalate anything that needs a practice decision.
We are mostly private pay with some insurance. Is this still a fit?
Often, yes. Many SimplePractice practices run a mixed model: superbills for out-of-network clients plus in-network claims for a few panels. The insurance side still needs enrollments, filing, and follow-up, and our support scales to a part-time footprint when the volume is small.
Do you support telehealth claims?
Yes. Telehealth is a large share of visit volume for many SimplePractice practices. Our staff bill telehealth sessions to the practice's documented rules and flag payer-specific rejections and denials for review rather than guessing at place of service or modifier changes.
Can you support billing companies managing several SimplePractice accounts?
Yes. Billing companies commonly use us as added capacity across client accounts, working under the billing company's own process, access controls, and client instructions.
